I am Sarah Hickinbotham. I am a freelance dyslexia specialist teacher, assessor, and trainer. I offer a range of services including assessments, teaching, training and consultancy.
For the purposes of my business operations, including insurance, employment, finance, and legal obligations such as Information Commissioner’s Office (ICO) registration, I act as a data controller.

For services provided on behalf of other training providers or for the assessment and teaching of minors, I act as a data processor. Under these circumstances, I use personal information under the strict instructions of those contracts.

The information I collect from you is necessary to deliver services, communicate with you, to teach and assess you with accuracy, or ensure payment. I collect or use the following information:

Lawful bases and data protection rights

Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information for student education and Ilfare are:

Consent - I have permission from you after I gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.

Contract - I have to collect or use the information so I can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.

How your information is stored
All information collected is securely stored using the following methods:

Secure servers provided by Wix, our website platform

Emails through Google Workspace

Secure Microsoft OneDrive folders and backed up on an encrypted hard-drive

Physical paperwork and assessment papers are stored in a locked filing cabinet for at least one year post-assessment

Secure Sync online sharing platform for the purposes of transferring the report to you. This is password protected and deleted after 28 days
Information may be stored outside of the UK. I do not store data outside of the secure systems provided by a third-party service.
How long I keep information
I will retain your personal information for as long as is necessary for the purposes set out in this policy or as required by law.
For adult services, data is kept for as long as the contract allows or until consent is withdrawn, unless I need to retain it for legal reasons (for example, financial records).
For teaching and assessment of minors, data is required to be kept until the individual turns 25 in accordance with legal obligations.
Where information is shared
Others I share personal information with:

Parents, carers, teachers, employers, or another nominated person/organisation with the permission of the person being assessed

For the purposes of teaching and assessment, I may need to contact other professionals, such as schools or medical practitioners, but only with prior permission from you, parents, or guardians
How to complain

If you remain unhappy with how I’ve used your data after raising a complaint with us, you can also complain to the ICO.
